Every MDF dollar, tracked from budget to reimbursement.

Fund programs & budgets

Set each program's budget, and the ledger tracks it to the dollar.

Create a fund program for a fiscal year, region, or initiative. Each one carries its own window, budget, currency, funding model, and the activity types it pays for. Allocate budget down to partner accounts, and a ledger built from one entry per commitment keeps allocated, committed, spent, and available current – with no running total to reconcile at quarter-end.

Fund programs

One program per fiscal year, region, or initiative – each with its own window, budget, and currency.

Funding models

Choose Fixed, Accrual, or Discretionary funding to match how you want to put budget into partners' hands.

Budget allocations

Allocate program budget to specific partner accounts, so each partner knows exactly what it has to spend.

Ledger-based balances

Every commitment is one ledger entry, so allocated, committed, spent, and available stay accurate in real time.

Activity type catalogue

Define the marketing activity types a program funds, each with its own instructions, eligible expenses, and proof requirements.

Multi-currency

Run programs, allocations, and claims in the currency each region actually works in.

Requests, activities & approvals

Every activity gets the right approval path, automatically.

A partner submits one request holding many marketing activities and accepts the terms. You approve each activity on its own – in full or at a percentage – and the commitment follows your decision. Approval chains route by the rules you set, so routine spend moves fast and big commitments get the scrutiny they warrant.

One request, many activities

Partners bundle several marketing activities into a single request; you approve and fund each one separately, in full or at a set percentage.

Routing by your rules

Chains route by amount, share of program budget, currency, program, activity type, or partner tier – with multiple approvers per step and an auto-approve threshold for small amounts.

Deadlines that escalate

Put a deadline on each approval step. When one stalls past its deadline, it escalates automatically, so requests never sit waiting.

One review queue, full audit trail

Channel managers clear requests, activities, and claims from a single queue with aging indicators and bulk decisions – and every submission, step decision, and escalation is logged.

Approve in full, at a percentage, or not at all – the commitment follows the decision.

Claims, proof & reimbursement

No reimbursement goes out without proof the activity happened.

Once an activity runs, the partner files expense claims against the approved amount, with receipts attached. Each activity type sets its own proof-of-performance requirement, so a reviewer confirms the work actually happened before anything is paid. Claim deadlines, expiry reminders, and low-balance alerts keep funds from quietly lapsing along the way.

Expense claims

Partners claim against a specific approved activity, with receipts – on a deadline you set, and as one claim or several per activity.

Proof of performance

Each activity type defines the proof it needs, so reviewers verify the activity ran before they approve the claim.

Reimbursements

One payment settles several approved claims at once and converts the commitment into spend on the ledger.

Attribution & reporting

See what every funded activity actually returned.

Link leads and opportunities to a funded activity – one at a time or in bulk by email – to report spend against the pipeline it influenced. Nineteen built-in reports then cover the program from budget health to ROI, and every one exports to CSV for finance and reviews.

Pipeline attribution

Tie leads and opportunities to a funded activity, individually or in bulk by email, and measure spend against the pipeline it drove.

Program and activity ROI

Report return at the whole-program level and down to each individual activity.

Partner utilization

See which partners are using their allocated funds and which are leaving budget on the table.

Claims aging and cycle time

Track how long claims and approvals are taking, with aging indicators that flag what's overdue.

Burn rate and fund expiration

Watch how fast each program is spending and catch funds nearing expiration before they lapse.

CSV export

Every one of the nineteen reports exports to CSV, so finance and reviews work from the same numbers.

Partners watch allocated, committed, spent, and available in real time – nothing tracked outside the portal.

Questions

Market Development Funds, answered.

Do I need a separate tool to run MDF?
No. The full MDF lifecycle – budgeting, allocation, requests, approvals, expense claims, proof of performance, and reimbursement – runs natively in your Magentrix partner portal. It replaces the spreadsheets, standalone channel-marketing tools, or legacy MDF package you may be using today.
How is the budget tracked?
Each fund program has a budget, and a ledger records one entry per commitment. You see allocated, committed, spent, and available balances in real time, rather than a running total you have to reconcile at the end of the quarter.
Can partners be reimbursed without proving the activity ran?
No. Each activity type defines its own proof-of-performance requirement, and a reviewer confirms that proof before approving the claim. One reimbursement can then settle several approved claims in a single payment.
Can approvals match our existing process?
Yes. Approval chains are multi-step and route by amount, share of program budget, currency, program, activity type, or partner tier. You can set multiple approvers per step, an auto-approve threshold for small amounts, and a deadline on each step that escalates when it stalls.
Does MDF connect to my CRM?
It reads context from your CRM – partner accounts, contacts, and the leads and opportunities you attribute to funded activities – so you can report spend against pipeline. In this release the module does not write data back to the CRM; a one-way Salesforce reporting mirror is planned for a future phase.

Fund partner marketing, and account for every dollar.

Bring budgeting, approvals, claims, proof of performance, and reimbursement into one module – with a ledger and reporting that show exactly where the money went.
